ProjectPad case study

ProjectPad is our own software product, live on the App Store and Google Play. It gives trade businesses one place to run the admin side of the job — quoting, invoicing, tracking costs and taking payment — instead of a phone full of photographed receipts and a laptop full of spreadsheets.

The problem

Trade businesses run on admin that nobody enjoys and most software handles badly. Quotes get written in notes apps. Receipts live in a glovebox. Invoices go out late, then get chased later still.

The tools that do exist are largely built for accountants rather than for someone standing in a van at 7am. They're heavy, desktop-first, and priced for businesses several sizes larger.

Taking a card payment usually meant buying a separate reader, and getting the numbers into Xero or QuickBooks meant typing everything a second time.

Our approach

We started with the actual sequence of a job — quote, accept, work, cost, invoice, get paid — and designed around that order rather than around a database schema.

Every screen had to be usable one-handed, on site, in poor light. That drove the dark interface, the large tap targets and the single primary action per screen.

Payments and bookkeeping were treated as part of the product rather than an afterthought, so the money side closes itself instead of becoming a second job later.

One Flutter codebase for both platforms, so iOS and Android ship together rather than one trailing the other by months.

What we built

A native-feeling app on iOS and Android covering jobs, clients, quotes, invoices, receipts and expenses in one place.

Receipt scanning that reads the merchant, date and totals, then splits a receipt into line items and assigns the costs to the right job.

Payments built in through Stripe Connect — a payment link on every invoice, and in-person contactless payments using Tap to Pay on iPhone and Tap to Pay on Android, with no card reader to buy.

Quotes built from a saved library of materials and labour rates, with custom document templates, VAT handling, and sending by email or WhatsApp.

Multi-user workspaces with role-based visibility, so workers see the job details while prices and margins stay with the owner.

Per-job push to Xero or QuickBooks — you choose what goes across, rather than a bulk sync deciding for you.

Analytics that answer the only questions that matter: what's outstanding, what's overdue, and which jobs actually made money.

ProjectPad is live on the App Store and Google Play — designed, built, shipped and maintained end to end by TKO Solutions. Product design, cross-platform app, Firebase backend, payment infrastructure, accounting integrations and subscription billing.
